Privacy Policy

Last updated: [set at publication]

This Privacy Policy explains how Reelax Media collects, uses, shares, and protects personal data when you visit reelax-media.com, contact us, book a call, or become a client. It also explains your rights over your data and how to use them. Please read it alongside our Terms of Service and our Cookie section below.

We take your privacy seriously. If anything here is unclear, email us at info@reelax-media.com and we will explain it.

1. Who we are and who controls your data

This website is operated by Reelax Media. Reelax Media operates through two entities:

  • Reelax Media LLC, registered in the United States
  • Reelax Media Ltd, registered in the United Kingdom

The data controller responsible for personal data collected through this website is Reelax Media LLC. Our business address is [Alliance Virtual Offices address, Westpark Drive], Houston, Texas, United States.

Our production team operates through our partner entity, MWA IT Services (SMC-Private) Limited, based in Pakistan.

For any privacy question, or to use your rights, contact us at info@reelax-media.com.

2. What this policy covers

This policy covers personal data we collect through this website and through the enquiry and onboarding process that starts on this website. Once you become a paying client, the way we handle the content and materials you send us for production is also governed by your signed service agreement. Where the service agreement and this policy both apply, the service agreement controls for the service work, and this policy covers everything else.

This policy does not cover third party websites or tools that we link to. Those have their own policies.

3. What data we collect

We collect personal data in three ways: data you give us, data we collect automatically, and data we receive from other sources.

Data you give us directly
  • your name
  • your email address
  • your phone number, if you choose to share it
  • your company, brand, or business name
  • your website or social media handles, if you share them
  • the content of your enquiry, including anything you write in our contact form
  • anything you tell us during a call, including details about your business and your goals
  • billing and company details you provide during onboarding, if you become a client
Data we collect automatically

When you visit the site, we and our providers may collect:

  • your IP address and general location based on it
  • your browser type and version
  • your device type and operating system
  • the pages you visit, the time and date, and how long you stay
  • the website or source that referred you to us
  • how you move through and interact with the site

We collect this through cookies and similar technologies. See the Cookies section below for the full detail.

Data we receive from other sources
  • if you reach us through LinkedIn or another platform, we may receive the profile information you have made available there
  • if a client or partner refers you to us, we may receive your name and contact details from them
What we do not collect here

We do not collect payment card details through this website. Payment information for clients is handled separately through our invoicing and payment providers under the service agreement. We do not knowingly collect sensitive personal data such as health, religion, or political views through this website.

4. Cookies and similar technologies

Our website uses cookies and similar technologies such as pixels, tags, and local storage. Cookies are small files stored on your device. Some are needed for the site to work. Others help us understand traffic, improve the site, and measure and run our advertising.

The categories of cookies we use
Category What it does Examples of tools Set by default
Strictly necessary Keep the site secure and working, remember your cookie choices, and support basic functions. The site cannot work properly without these. Hosting session cookies, our consent banner Yes, always on
Performance and analytics Help us understand how visitors use the site so we can improve it. They tell us which pages are popular and where people run into problems. Google Analytics Only after you consent
Functional Support extra features such as booking a call or embedded scheduling. Calendly, our automation tools Only after you consent
Advertising and targeting Measure and run our advertising, track conversions, and help us show relevant ads on other platforms. These may share data with advertising partners. Meta (Facebook) Pixel, Google Ads, LinkedIn Insight Tag Only after you consent

The analytics and advertising tools listed above, including Google Analytics and the Meta Pixel, are active on this site. Some advertising cookies involve sharing data with the advertising platform for the purpose of showing you relevant ads across other websites and apps. In California, this counts as "sharing" for cross context behavioral advertising, and you have the right to opt out. See the California rights section below.

How we ask for consent

For visitors in the United Kingdom and the European Union, we do not set performance, functional, or advertising cookies until you accept them through our consent banner. Strictly necessary cookies do not need consent. You can accept all, reject all, or choose which categories you allow. You can change your choice at any time through the cookie settings link on the site.

How to manage cookies yourself

You can also control cookies through your browser settings. Most browsers let you block or delete cookies. If you block strictly necessary cookies, parts of the site may stop working. You can opt out of some advertising cookies directly through the platforms, for example through your Google Ads settings and your Meta ad preferences.

Do Not Track and Global Privacy Control

Some browsers send a "Do Not Track" or "Global Privacy Control" signal. Where the law requires us to, we treat a recognized Global Privacy Control signal as a valid request to opt out of the sale or sharing of your data.

5. How we use your data

We use your data for these purposes:

  • to respond to your enquiry and answer your questions
  • to schedule, prepare for, and follow up on calls with you
  • to send you the information, quotes, or proposals you asked for
  • to onboard you and set up your account if you become a client
  • to run, maintain, and secure the website
  • to understand how the site is used and to improve it
  • to measure, run, and improve our marketing and advertising
  • to send you marketing messages where you have agreed to receive them or where the law allows
  • to keep records for our accounting, tax, and legal duties
  • to protect our rights, prevent fraud, and enforce our terms

We do not use automated decision making that produces legal or similarly significant effects about you.

6. Our legal bases for using your data

If you are in the United Kingdom or the European Union, we must have a legal basis for each use of your data. Our bases are:

  • Legitimate interests. We use your data to respond to enquiries, run and improve our business, secure the site, and understand our traffic. We balance this against your rights.
  • Consent. We rely on your consent for non essential cookies, for advertising and analytics tracking, and for marketing emails where consent is required. You can withdraw consent at any time.
  • Contract. Where we are taking steps to enter a contract with you, or performing one, we process the data needed for that.
  • Legal obligation. We process data where we must to meet accounting, tax, or other legal duties.
7. Marketing and how to opt out

If you agree to receive marketing from us, or where the law lets us contact an existing or prospective business client, we may send you updates, offers, and useful content. Every marketing email includes an unsubscribe link. You can also email info@reelax-media.com to opt out at any time. Opting out of marketing does not stop service or account messages that we need to send you as a client.

8. Who we share your data with

We do not sell your personal data for money. We share it only in the ways set out here.

Service providers who work on our behalf

We use trusted providers to run our business. They may access your data only to do their job for us. These include:

  • our website and email hosting provider
  • our scheduling provider, for booking and managing calls
  • our form and spreadsheet tools, for collecting and storing enquiries
  • our automation and email delivery tools, for sending confirmations and follow ups
  • our analytics provider, for understanding site traffic
  • our accounting and invoicing providers, once you become a client
  • our editing and production tools and our production team, once you become a client and send us materials
Advertising partners

We use advertising and measurement tools from platforms such as Meta and Google. When you consent to advertising cookies, these tools may receive limited data about your visit so we can measure our ads and show you relevant ads on their platforms. In California this is treated as "sharing." You can opt out as described in the California section.

Our own entities and team

Our team works across the United Kingdom, the United States, and Pakistan. Your data may be accessed by our team members and our group entities in those countries for the purposes described in this policy.

Legal and safety reasons

We may share data where we must to follow the law, respond to a lawful request, protect our rights or safety or those of others, or in connection with a sale or restructuring of our business.

9. International data transfers

We are based in the United States, our UK entity is in the United Kingdom, and our production team is in Pakistan. Some of our providers are also based in the United States or other countries. This means your data may be transferred to, stored in, or accessed from countries outside the one you live in, including countries whose data laws differ from yours.

When we transfer personal data out of the United Kingdom or the European Union, we use the safeguards required by law, such as:

  • Standard Contractual Clauses approved by the European Commission for transfers out of the EU
  • the UK International Data Transfer Addendum, or the UK approved version of the Standard Contractual Clauses, for transfers out of the UK
  • transfers to providers who offer other approved protections

You can ask us for more detail on the safeguards we use by emailing info@reelax-media.com.

10. How long we keep your data

We keep your data only as long as we need it. Our general rules:

  • Enquiry and lead data: kept while we are in contact and for up to 24 months after our last contact, then deleted, unless you become a client. [confirm period]
  • Client data: kept for the length of our work together and for up to 7 years after, to meet accounting and tax rules. [confirm period]
  • Marketing data: kept until you unsubscribe or ask us to delete it.
  • Website and analytics data: kept for the retention period set in each tool, for example up to 14 months in Google Analytics. [confirm period]
  • Cookies: kept for the lifespan of each cookie, which ranges from the length of your visit to a set number of months.

After these periods, we delete or anonymize your data unless the law requires us to keep it longer.

11. How we protect your data

We take reasonable technical and organizational steps to protect your data against loss, misuse, and unauthorized access. These include access controls, secure hosting, and limiting who on our team can see your data. No website or system is fully secure, so we cannot promise absolute security, but we work to keep your data safe and to respond quickly if a problem occurs.

12. Your privacy rights

Your rights depend on where you live. To use any right, email info@reelax-media.com. We will confirm your identity before we act, and we will respond within the time the law allows. We will not treat you unfairly for using your rights.

  • Portability. Get certain data in a portable format, or have it sent to another provider.

If you are in California

You have the right to:

  • Access. Get a copy of the specific data we hold about you.
  • Delete. Ask us to delete your data, subject to legal exceptions.
  • Correct. Ask us to fix wrong data.
  • Opt out of sale or sharing. We do not sell your data for money, but our advertising cookies count as "sharing" under California law. You can opt out through our cookie settings link and by rejecting advertising cookies, or by sending a Global Privacy Control signal.
  • Limit sensitive data. We do not use sensitive personal data for the purposes that trigger this right, but you may still contact us.
  • No unfair treatment. We will not deny service, charge different prices, or give lower quality for using your rights.
